Only 38 days to go! Be sure to check out the
information below on the
Leadership
Luncheon and the all-new Leadership
Track
containing workshops specifically of interest
to leaders! I've also included other important convention
information,
as well as
some ideas on how you can make sure the
families in your group know about this
once-a-year opportunity. Who's
Invited? What's the
Cost? Last year, we implemented a new registration
policy--one that is fair for everyone. While
the plated luncheon is FREE, a credit
card number (or check) will be required and
will be processed in the amount of $25 only
if you make a reservation but do not attend.
To help us plan the luncheon, please make
your reservation as early as possible by
calling our office at 804-278-9200. The
registration deadline is May 29. The
cancellation deadline without the $25 charge
is also May 29. What:

Boards, Budgets, and Bylaws ~
Carol Topp, CPA As a support group leader and homeschool
veteran, you make the perfect volunteer!
Besides sharing pearls of wisdom, you will in effect become the face of
HEAV to many new
homeschool families. You will most likely
meet some of these same convention attendees
again in your local communities. Convention
table volunteers really perform a wonderful
service! The commitment involves a two-hour shift
during the convention in Richmond. The convention hours are below for
your
reference. Al and Linda Linder will be organizing table
volunteers again this year. If you'd like to
volunteer, please respond by sending them
your name, address, phone number, and e-mail
address. Schedules will be developed in May. If you
have already volunteered, we thank you in advance for your service. To
volunteer,
contact Al and Linda Linder at 703-791-2000,
alinder337@comcast.net,
or ljlinder@comcast.net.
And don't forget, for two hours of volunteer
service, you will receive a pass for early admission to the Used
Curriculum Sale! This year, for the first time ever, there is
free
admission for qualifying parents of
preschoolers. These parents, who are
making important
educational decisions for their children,
can discover what homeschooling is all about.
And we still have our free
Thursday
"How-to-Begin" sessions for everyone interested in learning how to
get started. Invite your friends to come along with you to
the 2009 HEAV Convention, June 11-13, 2009,
at the Greater Richmond Convention Center. It's simple and easy--give
them a magazine
with convention information and point them
to our website (see below)! Is there someone in your group who would be
willing to distribute magazines to churches,
bookstores, libraries, or teacher's stores?
We'll be glad to send extra magazines; just
let us know. There is no cost to you or your
group! Call the office at 804-278-9200 and
let us know the number of magazines you
need--10, 50, 100, or more. You can also
e-mail Sue DeFazio, our Volunteer
Coordinator, at VolunteerNow@heav.org.
We'll put them right in the mail to you! In fact, we would like to send our magazine
to your group for FREE on a regular basis.
You can distribute them to your members or potential homeschoolers at
your meetings four
times each year! Just let us
know how many
you can use each quarter. You'll find convention ads like the one shown
to the right, ready-to-post convention
descriptions, fliers, schedules, and much,
much more! If there's something you need
that's not there, please let us know. Sincerely,
Ads like the one below help us provide you
with free publications and services. I hope
you don't find them intrusive, but see them
as an opportunity to learn about new
companies and resources. Thank you for taking
a moment to support and thank our
advertising sponsors. Please let them know
you saw their ads in HEAV's publications.

Register NOW for the Support Group
Leadership Luncheon!
Join us for lunch, great fellowship, and
fun, as we say "thank you" for your service
to the homeschoolers in your area. You'll be
served a delicious, sit-down lunch and
dessert. Then you'll enjoy fun and
fellowship as we give many wonderful door
prizes provided by our generous exhibit hall
vendors!
Our guest
speaker, Debbie
Strayer, will be sharing on "Grace for
Leadership." The demands of leadership
continue to change and grow as more and more
families begin homeschooling. Debbie will
show us how to survive and thrive as
homeschoolers who lead. We'll understand how
to tap into God's supply of encouragement and grace! Come and receive
both, as well as a
few chuckles, as you are refreshed and your
vision is renewed!
Those in leadership positions in your
group--board members, coordinators, moderators, committee heads,
newsletter
editors, and even aspiring leaders--are all
invited to the Leadership Luncheon. In order to attend the
Leadership Luncheon, you
must be registered
for the convention.
Because of limited seating, up to three
leaders from each group may attend. We will
be glad to include additional names on a
waiting list and contact you the week before
convention if space is available for other
leaders from your group. The registration deadline is May
29!
For several years, we faced the costly
problem of leaders making luncheon reservations and then not attending.
Not only
did we have empty seats that could have been
filled by other leaders, but we also had to
pay for lunches not eaten.

YOU asked for it--and we listened! Based
on your feedback, we've added a Leadership
Track this year. The track will kick off
right after the Leadership Luncheon (see
above) with a Q & A Panel, then continue
with one more workshop on Friday and two on Saturday.
Friday, June 12, from 1:30 p.m. to 2:30 p.m.
(Immediately after the Leadership
Luncheon)
As a leader, have you ever wondered how other
groups work or what kinds of things they do?
Do you need to find creative solutions to problems in your group? Are
you looking for
fresh ideas? Are you feeling burned out and
need help? If so, this is your opportunity to
find encouragement and answers from leaders
like Jessica Hulcy, Carol Barnier, Carol
Topp, and Debbie Strayer--leaders who have
faced similar challenges! Whether you're the field-trip chairman, the
treasurer, the
e-group moderator, or the president of a
support group, this Q & A panel will provide
you with a forum for discussing the things
that concern you most. This is your
opportunity to ask experienced leaders for
their wisdom and godly counsel concerning
support group issues that are important to YOU!

Many homeschool organizations are asking,
"Should we consider becoming a tax-exempt organization? What are the
benefits? What are
the costs? Do we need it? Is it worth it?"
Becoming a formally recognized not-for-profit
organization (known as "501c3" or being "tax
exempt" according to the IRS) is a tough
decision. Presenter Carol Topp (www.HomeschoolCPA.com),
a homeschooling mother and CPA, has helped
homeschool organizations obtain tax-exempt
status. She will discuss the pros and cons of
501c3 status and offer tips, helpful
resources, and checklists.
Saturday, June 13, from 3 p.m. to 4 p.m.
As the homeschooling movement grows, so do
support groups and homeschool co-ops. This means more organization is
needed to handle
larger memberships, more money, and special
programs. Many homeschool groups find
themselves needing to formalize their groups
with bylaws and boards of directors. Carol
Topp, owner of HomeschoolCPA.com, will
discuss boards, budgets, and bylaws in this
helpful workshop for group leaders and board
members.
Convention Table Volunteers Needed - June
11, 12 & 13
HEAV is searching for volunteers to assist
at our convention tables. We are very excited
about this year's state convention, but need
your help to listen compassionately to concerns, offer words of
encouragement to new
homeschooling families, answer member
questions, and sell books and goods.
- Thursday, June 11, 1 p.m. to 9 p.m.
- Friday, June 12, 7:30 a.m. to 8 p.m.
- Saturday, June 13, 7:30 a.m. to 6:30 p.m.
There's Something for Everyone!
Convention offers so much help and
encouragement for parents. Shopping for
curricula is an important part of
convention, but other things like listening
to uplifting speakers; learning how to teach
specific subjects; and getting help
organizing your days, your stuff, and your
finances--these are the things that make it a well-rounded experience.
It's also about
working with our children (from toddlers to
'tweens to teens), discovering special-needs
resources, building stronger family
relationships, and much, much more.
Make Sure Everyone Knows -
Give
Free Convention Magazines!
The HEAV Convention is a highlight of the
homeschool year--don't let your support
group members and friends miss it! Put a
convention magazine in the hands of everyone
in your support group, your Bible study, and
your mom's group! Make sure every
neighbor, friend, or relative who has ever
asked you about homeschooling knows about
this once-a-year opportunity!
Convention Materials for Your Website or
Yahoo!
Group
We've made it easy for you to put helpful
convention information on your website and
e-mailings. Take a look at the convention
promo materials available, and upload
them to your website or blog, or share them
with your group through your Yahoo Group or
e-newsletter.
This convention will be the best ever!
This year we have so many exciting workshops and events geared to
leaders. I know you'll
come away empowered to the job you've been
called to do. I look forward to being there
with you!
